JOB RESPONSIBILITIES

This crucial role, based in **Ho Chi Minh City, Ho Chi Minh, VN**, involves managing the CEO's schedule, coordinating meetings, preparing reports, and handling confidential information with the utmost discretion. The ideal candidate will possess exceptional communication skills, a keen eye for detail, and the ability to anticipate needs and manage priorities effectively. This is a hybrid position, blending essential on-site support with the flexibility of remote work for specific tasks.

Responsibilities:
  • Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare agendas, meeting materials, and minutes for executive meetings.
  • Screen and prioritize incoming communications (emails, phone calls) on behalf of the CEO.
  • Handle confidential correspondence and sensitive documents with discretion.
  • Conduct research and prepare reports, presentations, and briefs as requested by the CEO.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and visas.
  • Manage expense reporting and T&E reimbursements for the CEO.
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Organize and manage special projects and initiatives as assigned.
  • Maintain and organize physical and digital filing systems.
  • Handle ad-hoc administrative tasks and provide support to the executive office as needed.
  • Anticipate the CEO's needs and proactively address potential issues.
Qualifications:
  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role, preferably supporting C-suite executives.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills in both English and Vietnamese.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
  • Discretion and a high level of professionalism when handling confidential information.
  • Ability to multitask, prioritize effectively, and work efficiently under pressure.
  • Proactive attitude with a solutions-oriented approach.
  • Experience with travel booking and expense management systems.
  • Bachelor's degree in Business Administration or a related field is preferred.
  • Ability to seamlessly transition between on-site support and remote work responsibilities.
