About the Role

We are seeking a dynamic and resourceful
Fundraising & Partnership Manager (Volunteer)
to drive sponsorship and partnership efforts for the
STEAMese Festival 2025
—a flagship event co-organized with
UNICEF Vietnam, Hanoi University of Science and Technology (HUST), and the U.S. Embassy in Vietnam
.

This is a high-impact role at the intersection of fundraising, relationship management, and event success. You will be responsible for identifying, engaging, and managing relationships with sponsors, corporate partners, and philanthropic donors who share our vision of empowering Vietnam's next generation of innovators.

You will work closely with the Leadership, Communications, and Operations teams to design fundraising strategies, craft partnership proposals, and ensure sponsor deliverables are met. This is a unique opportunity to play a critical role in scaling one of Vietnam's largest AI & STEAM education events, while working with leading global and national partners.

Key Responsibilities

Fundraising Strategy & Execution

• Develop and implement a fundraising and sponsorship strategy tailored to the STEAMese Festival 2025.
• Identify and research potential corporate sponsors, foundations, embassies, and individual donors.
• Draft and deliver compelling proposals, pitch decks, and presentations to potential funders.

Partnership Development & Stewardship

• Build and maintain strong relationships with sponsors and partners, serving as their primary point of contact.
• Ensure timely delivery of sponsor benefits, visibility, and branding in festival communications and onsite activations.
• Collaborate with the Communications team on joint PR, media, and marketing opportunities with partners.

Collaboration & Event Support

• Work with festival leads (program, logistics, guest relations, etc.) to integrate partner contributions into festival activities.
• Coordinate with Operations to ensure accurate tracking of sponsorship agreements and benefits delivery.
• Provide onsite support during the festival to ensure sponsor and partner engagement is seamless.

Post-Festival Engagement

• Gather sponsor/partner feedback and prepare post-event impact reports.
• Maintain ongoing relationships for future collaborations beyond the festival.

Qualifications

Experience

• At least 2 years of experience in fundraising, partnership management, business development, or CSR/corporate relations.
• Prior experience in large-scale events, education initiatives, or non-profits is highly desirable.

Skills & Mindset

• Strong networking and relationship-building skills.
• Excellent communication skills in Vietnamese and English (spoken and written).

Commitment

• Volunteer role (unpaid).

Role Overview

You'll lead end-to-end operations for our programs and flagship events, ensure an excellent participant experience, and coordinate a high-energy volunteer force across Edu, Marketing, Tech, and Partnerships.

Key Responsibilities1/ Event Management

• Own event ops from kickoff → run-of-show → post-mortem (timelines, RACI, risk, budgets).
• Build and run event playbooks: venue & layout, stage management, registration, signage, safety, vendor management, logistics.
• Lead day-of command center: staffing, comms, incident response, and real-time problem solving.
• Track KPIs (attendance, NPS, SLA compliance, budget vs. actual) and deliver after-action reports.

2/ Customer Excellence (CS & Customer Flow)

• Design the participant journey: pre-event comms, check-in, queueing, wayfinding, service desks, and feedback loops.
• Stand up and manage CS channels (email, hotline, chat); build macros, FAQs, and escalation paths.
• Monitor service levels (response times, resolution rates, satisfaction) and drive continuous improvement.
• Coordinate with Tech to optimize registration systems, ticketing, and on-site scanning.

3/ Volunteer Coordination

• Forecast headcount and roles; recruit, screen, and onboard volunteers.
• Build clear SOPs, shift rosters, briefing decks, and training sessions.
• Lead team leads (check-in, stage, floor, CS, safety) and run daily standups/retros.
• Recognize contributions and maintain a healthy volunteer pipeline.

Cross-Functional Ops

• Drive weekly ops syncs; remove blockers across Edu/Marketing/Tech/Partnerships.
• Maintain risk logs, contingency plans, and compliance checklists.
• Document processes for scalability; keep living playbooks up to date.

Required Qualifications

• Experience:
  3+ years in operations/project/event management (nonprofit/education/tech a plus).
• Skills:
• Strong planning and organization; calm under pressure.
• Excellent communication, stakeholder management, and team leadership.
• Data-driven, solution-oriented; capable of building SOPs and dashboards.
• Proficiency with project tools (Asana/Trello), sheets, and basic Gantt/RACI.
• Nice to have:
  Experience running large-scale events, customer service operations, or leading 30+ volunteers.

Time & Location

• Commitment:
  ~8–12 hrs/week (peaks to 20–30 hrs during event weeks).
• Location:
  Hanoi/Ho Chi Minh City preferred; hybrid/remote possible.
• Duration:
  Minimum 4 months preferred.
