The Data Management Manager will also work with the individual campuses as needed to train colleagues on how to use new systems, as well as supporting them on how to manipulate and learn from data.
**I. Job Description**
Specific responsibilities include the following:
- **System administration**
- Creating user accounts for staff and students in the MIS and any other systems.
- Setting up the MIS for the new school year, including adding new students, classes, and timetables
- **Data Management**
- Provide the system and structures to store the data across the school.
- Keeping accurate records for students and staff
- Tracking historical information for students
- Preparing and presenting data for presentations and respective stakeholders
- Manage Engage and the relevant data that is input into the system
- Updating any changes to classes and groups
- Liaise with MOET colleagues and teams to develop joint connections and projects.
- **Data analysis and reporting**
- Meet with CAT (weekly or monthly) to understand the school’s reporting requirements, to present analysis, aid in strategic discussions, and discuss the impact of any recent updates on campuses concerning data and student progress and attainment.
- Carrying out analysis for the school as needed which includes interrogating the data and asking questions in relation to the data in the school.
- Updating and implementing student reports.
- Keep up to date on how schools should collect or use their data
- Providing timely statistical analyses and advice to CAT and the campuses
- Preparing data for departmental self-evaluation, review and target setting.
- **Data collection**
- Be responsible for the receiving of data from CAT, campuses, and the local authority relating to both academic and pastoral data.
- Sourcing and importing all external data and testing results for importing into the MIS, this includes Cambridge, GL, CEM and DOET.
- Collaborating with CAT Team on designing and creating the assessment marksheets, on the MIS, for all relevant staff.
- Working with the campuses to collect academic data for student reports.
- Checking and informing campuses on teachers for any missing assessment data due for students’ reports
- **Timetabling**
- Producing and maintaining Secondary timetables for all VAS campuses in a timely, accurate and efficient manner.
- Analysing and providing information and reporting accurately and promptly related to teaching quality management: teaching situation, teacher information, timetable, teaching hours, etc
- Liaising with campuses and Central MOET Team to obtain required information for timetabling.
- Coordinating with timetable representatives of campuses for teacher allocations and sharing teacher arrangements.
- Setting up the procedures and systems for timetabling purposes.
- Arranging Cambridge cover teachers and ensuring the accurate calculation of actual teaching/supervision hours for Secondary Cambridge teaching staff for payroll purposes monthly.
- Being responsible for proactively dealing with timetabling conflicts, resolving queries, problem solving contingency planning to prevent problems.
- Working with IT Dept. to have the timetables uploaded to Engage/alternative systems timely for student attendance check, reporting and other academic purposes.
- Acting as an expert/taking lead for the timetabling team in liaison with internal and external parties for timetabling software construction and integration with other systems.
- **IT support**
- Facilitate staff training on how to use school software and support to staff, where required, on inputting assessment data.
- Identifying and logging any faults or issues with software and raise them with the provider
- Ensuring professional development of the skills that will be useful to your role (e.g. Microsoft Power BI)
- **Other Duties**
- Evaluate and lead in the development of the LMS and MIS that will be implemented into the school.
- Other duties as assigned from time to time by the Line Manager and Academic Leadership Team.

**Project** **Objective**:
SI is implementing the USAID Learns Contract (Learns). The scope of the five-year project is to support USAID/Vietnam staff and its implementing partners (IPs) to implement more efficient, effective, and transparent programs by: (1) improving IP knowledge and skills in Monitoring, Evaluation & Learning (MEL) and Collaborating, Learning & Adapting (CLA); (2) advancing evidence-informed decision-making; and (3) strengthening strategic collaboration between staff and local stakeholders.
**Position Description**:
The Monitoring Coordinator will act as the primary focal point for Learns’ on data-management needs and work closely with other Learns Monitoring Specialists to support USAID-funded IPs to build and update their data-management systems and practices, based on ongoing lessons learned. They will also work closely with other Learns members, including the Capacity Building team, to achieve more strategic engagements and sustainable results.

**Responsibilities**:

**Support Learns internal Data Management (DM) needs**
**Building on Learns existing DM practices/systems, help Learns maintain strong data management practices on an on-going basis, including through**:
- Internal DM coordinator, responsible for the day-to-day upkeep and maintenance of all data related to Learns’ Activity Monitoring, Evaluation, and Learning Plan (AMELP) and Learns’ Task Tracker, and the quality of its data. Support the creation of task completion surveys for Monitoring team members on Survey Monkey.
- Work closely with relevant colleagues to make sure that all raw data (especially Learns indicator-related data) is reliable and timely. Periodic collection, data-quality control, aggregation and analysis of Learns data, including quarterly AMELP results.
- Perform data-entry and seek associated approvals for the submission of Learns AMELP results on the Development Information Solutions (DIS).
- Ongoing production/sharing of key Learns data (and associated visuals) for Learns quarterly and annual reports, as well as other ad-hoc communications or strategic reviews.
- Other emerging data-quality, data-visualization and data-analysis in support of Learns’ reporting, communication and learning needs.

- Support the maintenance of the Mission Indicator Library
