Regional Senior Operation & Supply Chain
Executive
to:
- Freight & Customs Management: Oversee and coordinate import/export documentation and clearance with freight forwarders and customs authorities. And, also ensure smooth replenishment cycles by supporting inbound freight planning and managing local transport networks.
- Warehouse Operations: Work with 3L providers on operations to ensure timely fulfillment, including distribution of product (inbound and outbound), warehousing to achieve targeted KPIs & SLA.
- Operation Compliance: Support accurate and timely month-end inventory closing by ensuring strong inventory control procedures. Identify and implement areas of improvement in daily operations and compliance routines.
- Relationship Management: Work with internal (Local, Regional & Functional teams) & external (Service Providers) stakeholders to create additional value in the operational & supply chain network.
- Continuous Improvement: Actively contribute to logistics and operations improvement projects, process optimizations, and cost-saving initiatives.Identify areas for improvement in the supply chain and daily BAU operations processes, participate in continuous improvement initiatives and projects.
You're a fit for this role, if you:
- A background in Operations, Logistics, or Supply Chain Management.
- Hands-on experience with import/export procedures, customs clearance, and 3PL warehouse management in Vietnam.
- Familiarity with Incoterms, freight documentation, and customs regulations (VNACCS, CO, etc.).
- At least 3 years of relevant experience, ideally in a high-growth or fast-paced environment such as logistics or supply chain industries.
- Proficiency in Microsoft Office and exposure to WMS/OMS platforms.
- Business fluency in Vietnamese and working proficiency in English.
- A proactive, solutions-oriented mindset with the ability to work independently.

Summary of the role
- We are seeking an oriented and proactive Supply Chain Assistant who supports the end-to-end trading operations - from procurement to logistics - ensuring smooth coordination between sales, suppliers, buyers, freight forwarders, and warehouse teams.

Tasks and Responsibilities
Trading task
- Assist in managing purchase orders (POs) and sales orders (SOs).
- Coordinate with sales, suppliers, logistics providers, and customers to ensure timely shipment and delivery.
- Track shipments and update internal systems with real-time logistics and inventory data.
- Handle import/export documentation (invoices, packing lists, bills of lading, certificates of origin).
- Support customs clearance processes by liaising with customs brokers and ensuring compliance.
- Monitor and report on stock levels, lead times, and delays.
- Assist in analyzing supply chain data to identify cost-saving opportunities.
- Communicate effectively with internal teams (sales, finance, warehouse) to ensure alignment.
- Maintain vendor databases and assist in supplier evaluations.
- Any requirement from HoD.
Updates to the related department
- Notify if any delays during the delivery process.
- Verify, monitor, and inform the related departments of import tax/ export tax rates and policies.
- Explain any additional costs to accounting.
- Inform and support for delivery to customer.
Collect data and submit Payment request to accounting team.
Education and Experience
- Bachelor's degree in Logistic, customs, Import-Export or relevant majors
- 0 - 1 years of experience or fresh in Customs clearance, Logistics, or Import-Export
- 0 - 1 years of experience or fresh within Procurement process
- Intermediate English proficiency
- Experience with ERPS / Fourth Shift / SAP (preferred)
- Self-motivating and able to work on own initiative.
- Organized and structured with a good attention to detail.
- Possesses transferable skills.
- Teamwork skill
Competencies
- Strong understanding of international trade and Incoterms.
- Proficient in ERP systems (SAP) and Excel.
- Good knowledge of freight logistics, especially sea and air cargo.
- Detail-oriented with excellent organizational and follow-up skills.
- Ability to multitask under tight deadlines and high volumes.
- Basic knowledge of import/export regulations and compliance.
- Fluent in English
