About the Role
We are looking for a highly organized and detail-oriented Legal Administrative Assistant to join our Legal Team. The successful candidate will provide comprehensive administrative and coordination support to ensure the smooth operation of legal activities including invoicing, notarization, documentation handling, and internal systems management.
Key Responsibilities
Legal Administrative Support
Coordinate calendars, meetings, and deadlines for the Legal Team
- Draft, format, and edit legal correspondence, internal memos, official documents
- Organize and maintain legal files (physical and digital) in a secure and accessible manner
Support document translation, formatting for contracts and preparing, formatting legal papers and templates
Legal Invoicing, Notarization & Translation Coordination
Prepare and coordinate documents for notarization and legalization
- Liaise with notary offices and external providers
- Track and follow up on notarized/legalized documents to ensure timely processing
- Coordinate with the Legal and Accounting teams to issue accurate client invoices
Handle document translation requests related to legal matters
CaseMan System Support (Timekeeping & Billing)
Ensure accurate and timely time recording in the CaseMan system by legal team members
- Generate reports to support billing and KPI tracking
- Coordinate with Accounting for billing accuracy based on CaseMan data
Monitor time recording consistency and send reminders when necessary
