**Job Summary**:
The job requires the incumbent to facilitate import and export activities in Vietnam and is responsible for ensuring the smooth and legal passage of the goods, dealing with complex customs regulations, and ensuring compliance with all import and export laws as well as Pharma regulations.

**Key Responsibilities & Accountabilities**:
Customs clearance and transportation activities:
- Oversee Import and Export Operations: Responsible for the end-to-end management of goods import and export processes.
- Prepare and submit necessary documentation for customs clearance, ensuring compliance with regulations and appropriate licenses or permits are obtained.
- Collaborate with Regulatory Affairs/Quality Assurance for shipment preparation as per SOP.
- Ensure accurate data and shipping documents by coordinating with supplying sites.
- Ensure optimizing logistics costs that need to closely work with the warehouse to arrange transportation.
- Manage Freight forwarders/carriers' service to ensure timely inbound shipments, avoiding storage charges.
- Liaise with government agencies and customs authorities, communicate with customs officials, government agencies, and other relevant parties to resolve any issues and provide necessary documentation when required.
- Maintain records and documentation fully responsible for maintaining accurate and organized records of import and export activities, ensuring that all required documentation, such as invoices, bills of lading, and customs declarations, are properly filed and archived.
- Monitor and control logistics costs of inbound shipments
- Monitor KPIs reports of service providers
Efficient Sales Order Management and Customer Satisfaction:
- Sales Order Management & delivery: this includes working with customers to confirm orders, managing orders in the system, checking stock availability, working with warehouse personnel to prepare outbound delivery, issuing invoices and delivering the products to customers, and facilitating documents for delivery.
- Coordinated with the commercial team to support customer requirements and solve problems if any.
- Customer data maintenance: maintain/update customer data in the system and other related activities.
- Customer return management: includes overseeing customer return and processing in the system from return order to billing.
- Handle Customer complaints/Logistic complaints if any.
- Oversee and co-ordinate with cross-functions for product recall if happens.
- Monitor KPIs reports of service providers
Inventory control:
- Monitor both Takeda inventory and the Distributor’s inventory/ Branche Transfer request to ensure that a company has the right amount of products to fulfill customer orders.
- Monitor stock aging/low moving/obsoletion as per company procedures
Warehouse operation support: the position includes warehouse operation support when required
**Qualification / Attributes**:
- Bachelor or college degree in Business administration, Logistics, Supply chain, or a related field.
- 3-5 years of experience in customs brokerage, preferably in the pharmaceutical industry
- Strong knowledge of customs laws and regulations
- Proficiency in customs software and SAP systems, WMS system
- Able to work at Long An (Long Hau industrial zone) is preferable
- Possession of a valid customs broker license is preferable.
- Warehouse operation experience is preferable.
- Good at the English language, both written and verbal, is essential.
